5 ways to cut no-shows at your salon

A missed appointment is not a zero, it is a minus: the chair was held, the specialist was idle, and the client who would have taken that hour went somewhere else. Below are five methods you can run from your own dashboard without changing the way you work, ordered from the easiest to the hardest.

Work out what a no-show costs you

Take a piece of paper before you read on. What is your average session ticket? Say 180 SAR. How many appointments go missing in a week? Say three. That is 540 SAR a week, and around 2,160 SAR a month.

The number weighs more on long sessions. A two hour colour on one chair means the no-show took two hours you cannot sell again, not that one client failed to arrive.

And do not read every absence as bad faith. Some of it is forgetting, some is life, and some is a client who wanted to cancel and found no easy way to say so. The methods below follow that order: they start with forgetting, because it is the cheapest to fix.

1. A reminder before the visit, at the right hour

A reminder costs you almost nothing, and its timing matters more than its wording. A reminder 24 hours ahead gives the client room to apologise and gives you a full day to sell the hour to someone else. A reminder 3 hours ahead suits a short service on the same day, but if she cancels then you have no time left to fill the gap.

Start with a simple rule: 24 hours for long sessions and peak-time appointments, 6 hours for short services, then adjust after a month based on what you see. What matters is that the timing is fixed and known, not decided by how busy you happen to be.

On WGTK the reminder goes out by itself at the time you choose: a text message with the shop name, the day, the time and your shop number, or from your own shop WhatsApp once you connect it in settings. And if you want to remind a client yourself, open the list of reminders due and tap the button, and your WhatsApp opens with a ready message. One tap per client.

Let the message end with a line that opens the door to an apology: if you cannot make it, let us know. That line is what turns a no-show into a cancellation, and that difference is the whole point.

2. Make cancelling easy, because it is kinder than a no-show

What hurts is not the cancellation, it is the late or the silent one. A client who cancels two days ahead hands you time you can sell. A client too embarrassed to call simply disappears and takes the hour with her.

So make apologising as easy as you can. The reminder message comes back to your shop WhatsApp directly, so she replies with a single word and it is done. You cancel the booking from the dashboard, and in the same instant the hour shows again on the booking page for anyone who opens the link.

Your number of cancellations will go up, and that is normal and intended. A cancellation two days out is a number you can work with. A no-show is a dead hour you can do nothing about.

3. Paying ahead or a gift card for long sessions

The one thing that gives an appointment a price in the client’s mind is having paid something before it. On WGTK you turn on online payment from Settings, then Payments, and the client pays by mada, Apple Pay or card on the booking page itself, while you choose whether paying is optional or required to confirm the booking. The payment is the full price of the service, so if you want a partial deposit you take it your own way, by transfer or in cash, and record it yourself.

What the system can do is two things close to the idea. On WGTK you have gift cards: the card is paid for up front, so the holder comes because her money is already with you. And you have coupons: a discount code for a client who books her long session early, or for one who cancelled and wants to rebook.

Paying ahead cuts both ways. It reduces no-shows and reduces bookings at the same time, because some clients will hesitate. So do not apply it to everything. Put it on sessions longer than an hour and on Thursday and Friday slots, and leave short services without it.

4. Mark the no-show, and see who repeats it

You cannot fix what you do not measure. Every booking has a state: confirmed, arrived, done, no-show. Marking "no-show" takes a second while you close the day, and without it everything you say about absences is a feeling rather than a number.

After two months the difference between two kinds of client becomes visible: one who missed once, which is life, and one who missed three times, which is a pattern. The client’s page shows her full history, and the reports tell you who showed up and who did not, and returning clients against new ones.

The system does not block anyone from booking because of it; that call is yours. Usually a small move is enough: a confirmation call the day before instead of holding two hours on hope, or a time outside the peak that costs you little if it stays empty.

5. Fill the gap from your customer list

When the 5 pm suddenly frees up, you have two hours you can sell again. The first thing happens by itself: the hour reappears on the booking page, so a client may take it with no move from you.

The second takes you five minutes. Open the customer list, look at who had the same service a month or two ago, and send three or four of them a short message: we have a free slot today at 5, would you like it? You do not need a campaign or a discount, you need an ordered list and a direct question.

Keep a short standby list too, names waiting for a peak slot, ten of them at reception is enough. A Thursday hour that frees up does not need a search, it needs two names you can call straight away.

In short

None of the five removes no-shows completely, because part of it was never in your hands. What you can do is turn it from a surprise into a number you know: remind at the right hour, make apologising easy, mark the absence, and refill the gap quickly. Measure the number this month, then compare it two months later the same way.

Quick questions

The message does not arrive. Reminders travel on WhatsApp, so a number with no account needs a short call instead. It helps to check numbers at the moment you record them, especially numbers for visitors from outside Saudi Arabia.

In the reports, provided you mark bookings with their states as you go. The reports show who showed up and who did not over the period you choose, and that gives you your own rate instead of general figures you read online.

If you set one, you collect it yourself, because the system takes nothing from anyone. In practice it works better to start with long sessions only, and to write it plainly in the service description before booking. A fee a client learns about after missing costs you the client and the fee together.
